What GZEL costs, line by line
These amounts are the live GZEL Price book — the same catalogue used to build a subscription and to invoice each month. When a rate, minimum, charge basis or commercial item changes in the Price book, this page publishes that change. Amounts below are monthly unless a line is marked as per instance.
All amounts exclusive of VAT. VAT is charged only while the Licensee is VAT-registered; if the Licensee deregisters, no VAT is charged.
How billing works
- You subscribe to GZEL as a monthly service. Each invoice is built from the Price book lines that apply to the companies, people, modules and usage you actually have — not from a named plan with a single bundled price.
- The Base package includes one Superuser and the stated document storage. Extra users, extra companies, specialist property lines and optional modules are added only when you use them.
- Community scheme management and property letting are billed per entity as the greater of a monthly minimum or a rate multiplied by active units. The minimum is invoiced in advance; a true-up follows at month-end. Activity on any day of a calendar month is a full month's charge.
- Community meetings are charged per instance when you approve them. They are not added to the recurring subscription.
- A later change to the Price book does not rewrite invoices already issued. Existing subscribers receive notice before a higher rate is applied to them.
Included with the Base package
Superuser
One Superuser is included. That person is not billed as an extra user.
Document storage
2 GB included with the Base package. Extra storage follows the document-storage line on the Price book.
People who sign in
One Superuser is included. Each extra person who signs in is billed as an additional user for their first ordinary company. Further ordinary companies on that same login are billed at the subsequent rate. Staff who work only on community schemes or a letting or trust entity are covered by the additional-user licence and are not charged again per scheme.
Additional user
Per month · on the monthly subscription
An additional named person who signs in and works in GZEL, billed each month. The Superuser included in the Base package is not charged as an extra seat. This rate covers that person's first ordinary company — the subscriber books, or the first managed entity if they do not access the subscriber books. Additional users appointed on a community-scheme or property-letting subscriber are covered by this licence for the schemes or letting books they are granted, and are not charged again per scheme. Access rights are set on user permissions and do not change this rate.

Subsequent entity access

A reduced monthly rate for each further ordinary company authorised for the same additional user. The first extra person who works only on managed companies is charged as an additional user; each further managed-company-only user is charged at this subsequent rate. This line does not apply to the included Superuser, and it does not apply to staff who work only on community schemes or a letting or trust entity.

Companies and specialist property lines
Each own-business legal entity is billed monthly. Community scheme management and property letting use the greater of the monthly minimum or the unit rate multiplied by active units, invoiced as an advance minimum plus a month-end true-up.
Managed entity
Per month · on the monthly subscription
Monthly subscription for each ordinary legal entity on the subscription — the subscriber's own books and each additional managed business. This includes a complete GZEL accounting workspace — general ledger, cashbooks, customers and suppliers, bank reconciliation, financial reports and documents — together with the included Superuser. Community schemes and property-letting entities are billed on the specialist lines, not at this rate.

Property management — active units
Per month · on the monthly subscription
Monthly charge for each community scheme under management, calculated as the greater of the minimum or the unit rate multiplied by that scheme's active units. The minimum is invoiced in advance at the start of the month, or when the scheme is activated. At month-end the actual amount is calculated and any difference is invoiced or credited as a true-up. Activity on any day of a calendar month is a full month's charge; there is no daily proration. A unit is active if it had a lease, management contract or occupancy during the month, if a levy invoice was raised against it that month, or if it was newly added that month. A scheme with no active units is still billed the minimum. Owners, tenants, trustees and residents are not charged as GZEL users.

Property letting — active rental units

Monthly charge for each property-letting entity, calculated as the greater of the minimum or the unit rate multiplied by that entity's active rental units. The minimum is invoiced in advance at the start of the month, or when the entity is activated. At month-end the actual amount is calculated and any difference is invoiced or credited as a true-up. Activity on any day of a calendar month is a full month's charge; there is no daily proration. A unit is active if it had a lease or occupancy during the month, if a rental invoice was raised against it that month, or if the property was newly added that month. An entity with no active units is still billed the minimum. Landlords are records in the subscriber's books — they are not separate GZEL customers.

Optional modules and meeting instances
Optional modules are monthly subscription charges for the companies or subscriber that use them. Meetings are charged per instance when approved, and are not added to the recurring subscription.
Order Cycle module
Per month · on the monthly subscription
Optional Order Cycle module, billed monthly for each company on which it is enabled. It covers quotations, customer orders, purchase orders, goods receipts and related fulfilment. People who need the module use their existing user licence. There is no charge per order.

Optional screening assistance, billed as a fixed monthly amount at subscriber level. The subscriber remains responsible for reviewing possible matches and for any reporting that the law requires.
